Our client is a large global property investment and asset management company, they are now seeking an Executive Assistant to work in their Eastern Suburb based office.
Responsibilities:
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements (flights, accommodations, visas).
- Serve as the primary point of contact for internal and external stakeholders, screening communications and prioritizing urgent matters.
- Prepare agendas, presentations, reports, and correspondence on behalf of the Director.
- Coordinate logistics for executive meetings, board sessions, and corporate events (e.g., venue booking, catering, materials).
- Track action items, deadlines, and follow-ups to ensure timely execution of projects.
- Maintain confidential files, records, and databases with meticulous attention to detail.
- Oversee office management tasks, including supply inventory, vendor coordination, and expense reporting.
- Anticipate needs and resolve conflicts proactively to optimize the Director’s time and productivity.
- Manage the Director’s personal calendar, including family commitments, medical appointments, and social engagements.
- Plan and coordinate personal travel, leisure activities, and household logistics (e.g., reservations, event tickets).
- Handle discreet errands, such as gift purchasing, bill payments, or coordinating services (e.g., home repairs, pet care).
- Provide light support to the Director’s family as needed (e.g., school schedules, family event coordination).
- Maintain confidentiality and discretion in all personal matters.
Requirements:
- Fluency in both English and Mandarin, speaking and writing
- Strong time management, interpersonal skills, adaptability, and exceptional multitasking abilities
- Strong problem-solving skills and emotional intelligence.
- Willingness to work flexible hours, including occasional evenings/weekends.
- Trustworthy, adaptable, and resourceful.
- Unwavering professionalism and discretion when handling sensitive information.
- Worked as an Executive Assistant in the past is preferred but not essential
- Full time working rights is a must
Salary: $50k-$60k Plus Super
